QuietSignal ("QuietSignal," "we," "us") provides invoice intelligence and vendor analytics software for restaurant and food-service operators. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to the QuietSignal application at app.quiet-signal.com and our website at quiet-signal.com (together, the "Service").

1. Information We Collect

Account information. When an account is created for you, we collect your name, email address, business name, and a password (stored only in hashed form — we cannot read it).

Business documents and records you provide. The core of the Service is processing documents you choose to submit: invoices captured by photographing them, uploaded as files, or retrieved from a connected email inbox; payroll records you import; and event, vendor, and purchasing information you enter. These documents contain business information such as vendor names, line items, quantities, prices, taxes, fees, totals, and employee payroll figures.

Connected email inboxes (with your consent). If you choose to connect an email inbox so vendor invoices can flow into your books automatically, we access that inbox solely to identify and retrieve invoice emails and their attachments. For Google accounts, this uses read-only access granted through Google's OAuth consent process. For other providers, this uses IMAP credentials that you supply, which we store only in encrypted form. Connecting an inbox is optional, and you can disconnect it at any time.

Usage and log information. Like most software, we collect technical information generated by your use of the Service — such as log entries, IP addresses, browser type, and timestamps — used for security, troubleshooting, and keeping the Service running.

2. How We Use Information

We use the information described above to:

  • Provide the Service: read submitted invoices, extract and verify their contents, organize them into your records, and power the dashboards and reports you see;
  • Retrieve invoice emails from an inbox you have connected;
  • Maintain the security and integrity of the Service, including protecting against fraud and abuse;
  • Communicate with you about your account and the Service;
  • Improve and troubleshoot the Service.

We do not sell your information. We do not use your information for third-party advertising.

3. Google User Data

If you connect a Google account, our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We access Gmail data on a read-only basis, solely to identify and retrieve vendor invoice emails and attachments for processing into your records at your direction;
  • We do not use Gmail data for advertising of any kind;
  • We do not sell Gmail data;
  • We do not transfer Gmail data to third parties except as necessary to provide the Service (for example, extracting text from an invoice attachment as described in Section 4), to comply with applicable law, or as part of a merger or acquisition with notice to you;
  • Humans do not read your email content, except (a) with your explicit permission (for example, during a support request you initiate), (b) as necessary for security purposes such as investigating abuse, (c) to comply with applicable law, or (d) where the data has been aggregated and anonymized for internal operations.

4. Service Providers

We use a small number of third-party providers to operate the Service, each of which processes data only as needed to perform its function:

  • Document text extraction. Invoice images and PDFs are processed through Google Cloud Vision to convert the document into machine-readable text so its contents can be read and verified.
  • Hosting. The Service and its data are hosted on servers located in the United States.
  • Email delivery. We may use email service providers to send account and Service communications.

We do not permit service providers to use your data for their own purposes.

5. How We Protect Information

We take the security of your business records seriously. Measures include encryption of data in transit (TLS); encrypted storage of email credentials and access tokens; hashed storage of passwords; role-restricted access within the Service; and session controls that let access be revoked. No method of transmission or storage is perfectly secure, but we work to protect your information using commercially reasonable safeguards.

6. Data Retention and Deletion

We retain your information for as long as your account is active or as needed to provide the Service. You may request deletion of your account and associated data at any time by contacting us at customersupport@quiet-signal.org, and we will delete it except where retention is required by law (for example, records we must keep for tax or legal compliance). If you disconnect an email inbox, we stop accessing that inbox immediately; documents already retrieved into your records remain in your account until you delete them.

7. Your Rights and Choices

You may access, correct, export, or delete the business records in your account through the Service or by contacting us. Depending on where you live, you may have additional rights under applicable privacy laws (such as rights of access, deletion, and portability); we honor such requests as required by law. 8. Children

The Service is designed for businesses and is not directed to anyone under 18. We do not knowingly collect information from children.

9. Changes to This Policy

If we make material changes to this Privacy Policy, we will update the effective date above and notify account holders by email or through the Service before the changes take effect.
