What happens to an invoice
after it reaches you.
QuietSignal is invoice, payroll, and inventory analysis for operators who receive more vendor invoices than anyone can reasonably read line by line. Here is the whole sequence, in order.
- Step one
Invoices arrive the way they already arrive.
Nothing about how your vendors bill you has to change. QuietSignal monitors a connected mailbox, so invoices that come in as email attachments are picked up where they land. Anything handed over on paper at the back door is captured with a photo, and files you already have can be uploaded directly.
- Monitors a connected mailbox for invoices arriving by email
- Photo capture at delivery
- Direct upload for files you already hold
- Unlimited vendors
- Step two
Every line is read, not just the total.
The total on an invoice is the one number that is almost never wrong in an interesting way. QuietSignal extracts the detail underneath it: each line item, the quantity, the unit price, and what that line came to, as structured data rather than a scanned picture of a page.
- Extracts line items, quantities, unit prices, and totals
- Handles PDFs, photos, and emailed attachments
- Reads the receiving location from the invoice, not just the billing address
- Step three
The math is checked, and what does not add up is set aside.
QuietSignal checks the arithmetic on every invoice it reads. Where the numbers disagree, the invoice is flagged rather than quietly corrected, because an invoice that has been silently adjusted is an invoice nobody will ever look at again. Anything that does not add up is set aside with the reason attached.
- Billing gaps flagged with the exact amount
- Held for review, with the reason attached
- Recognizes duplicate invoices before they land twice
- Discrepancies are surfaced, never silently corrected
- Step four
What changed is reported where you can see it.
Once invoices are structured, the questions that used to need a spreadsheet become a page you open. What did this vendor charge last time. What is this location paying for the same item as the one down the road. Where did the category totals move this week.
- Tracks unit price changes across invoices and surfaces increases for review
- Spend by category, current every day
- Compares what each location pays for the same item
- Vendor level spending, so you can compare vendors and periods
See it against your own invoices.
