Are Your Locations Paying Different Prices for the Same Item?

Each location's vendor account was set up at a different time, by a different rep, under a different deal, so the same case from the same truck gets billed at different rates across your operation. Here's why nobody sees it, what a cross-site comparison actually is, and why the best price you already have is the target.

If you run more than one location and buy from the same vendors, your locations are almost certainly paying different prices for the same item somewhere. Not by much on any single line, and not on purpose, but consistently, every week, in a way nobody has caught because the invoices from each site have never been placed next to each other.

How the gap opens

Each location's account with a vendor was set up at a different time, by a different rep, under a different negotiation. One site opened with an introductory price that was never revisited. Another renegotiated last year and got a better case rate that never propagated. A third gets the vendor's default list price because nobody asked.

Vendor billing systems serve each account separately. They don't know your locations are related unless you tell them, and even then the custom price lives on one account at a time. The result is the same case of the same product, from the same truck, billed at two or three different rates across your operation.

Why nobody sees it

Each manager sees their own invoices, and their own prices look normal, because they've always been that way. The owner sees totals by location, which don't reveal a per-item gap. Nobody's job is to lay this week's produce invoice from site A next to this week's produce invoice from site B and compare line by line. So nobody does.

The gap isn't hidden. It's just in a place nobody looks.

What a cross-site comparison is

Take every invoice from every location, read each line, and group lines by vendor and item. Then show, for each item, what each location actually paid, side by side, with the invoices one click away.

Two things turn this from a report into a decision:

  • It's the real price paid, from invoices. Not the price list, not what the rep quoted, not what the manager remembers. The number on the invoice that was paid.
  • The best price anyone is already getting becomes the target. You don't have to negotiate from scratch. One of your sites already has the rate; the conversation with the vendor is about aligning the others to it.

What the call sounds like

"Our downtown location pays a lower case price for this item than our airport location, same vendor, same product. Can you align them?" The vendor already gave you that price once. Extending it is a small ask, backed by their own invoices.

Over a year, on the lines you buy every week at every site, aligning to the best rate you already have is one of the larger savings available to a multi-location operator, and it costs one short conversation per vendor.

Common questions

What if the locations are legitimately different?

Sometimes a site is farther from the distribution center, or orders smaller volumes, and the vendor prices accordingly. The comparison surfaces the gap; you decide whether it's justified. Even a justified gap is worth knowing about.

Does this work with different vendors at different sites?

The side-by-side is per vendor and item, so it's most useful where sites share vendors. Where they don't, the same view shows which vendor's price is better, which is its own decision.

How many locations does this need to be worth doing?

Two. The moment you have a second site, you have a second account, and a second price.
