Anything that doesn't add up is set aside with the reason and the exact amount attached — your attention goes only where a decision is needed.

What QuietSignal does

Three things you cannot do with manual invoice review.

QuietSignal extracts, analyzes, and surfaces invoice data that’s invisible at the total-amount level. Built for operators who don’t have time to review every line by hand.

01 · Intelligence

Invoices, payroll, and inventory — analyzed together.

QuietSignal extracts every line item, payroll record, and inventory movement into a single, structured dataset — then connects them. The same vendor charges that look fine on an invoice become obvious when QuietSignal sees them next to your payroll patterns and stockout history.

  • Multi-vendor parser handles PDFs, photos, and emailed attachments
  • Connects to ADP, Toast, Gusto, and major payroll systems
  • Cross-references invoice activity against inventory movement

02 · Location intelligence

Real cost-center reporting, by location.

Most tools default to Bill-To when identifying the customer on an invoice. QuietSignal prioritizes Ship-To first — so spend reports reflect the locations actually receiving the goods.

  • See cost-per-location across multi-site businesses
  • Compare vendor patterns across branches
  • Catch waste and miscoding at the operational level

Common questions

What QuietSignal is, in plain terms.

What is QuietSignal?
QuietSignal is invoice management and back office software for restaurants and small businesses. It reads vendor invoices line by line, checks the math on every one, tracks unit price changes across invoices, and reports what a business is actually spending with each vendor. QuietSignal is made by QuietSignal LLC and is based in the United States.
Who is QuietSignal for?
Restaurants, catering operations, and other small and mid-sized businesses that receive more vendor invoices than anyone can reasonably read by hand. It fits operators running a single location and operators running several, where the same item can be bought at a different price at each site.
How do invoices get into QuietSignal?
Three ways, and none of them ask your vendors to change anything. QuietSignal monitors a connected mailbox, so invoices that arrive as email attachments are picked up where they land. Paper handed over at delivery is captured with a photo. Files you already hold can be uploaded directly.
What happens when the numbers on an invoice do not agree?
The invoice is flagged and held for review with the reason attached, rather than quietly corrected. Billing gaps are surfaced with the exact amount, and duplicate invoices are recognized before they land in your books twice.
